CHILD SAFEGUARDING
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the vetting process staff.
ROLE PURPOSE: To assist Program Support Officer for smooth and effective programme implementation by assuming the administrative, clerical, HR and logistical responsibilities for the field teams in field Offices.

KEY AREAS OF ACCOUNTABILITY:
Administration:
- Assist PSO for regular payments (such as office rent, utility charges for water and electricity) and periodical payments as and when required
- Assist PSO to make sure all vehicle in the field office are insured.
- Under supervision PSO, hotel booking, air ticketing and other logistical arrangement in the field office.
- Assist in proper allocation of workstations, furniture and equipment in office buildings.
- Managing stationery supplies, office supplies, staff house supplies in assigned office.
- Assist PSO for logistical arrangement such as finding venue, arrangement of refreshment/food, procurement of stationeries etc.., for internal staff capacity trainings and workshops.
- Arrange and assist in phone pre-paid card distribution process depend on working nature of staff
- Assist and make sure for quality inventory listed and putting number for each item
- Assist meeting room preparation depend on sharing session / staff meeting / training schedule (for inside – and Outsite of Office also out of area arrangement)
- Supervise to Office Helper and arranging assign task of her / him depend on requirements including Office Building cleaning and also Compound
- Keeping systematically related letter IN/OUT depend on distributed and received
- Assist to PSO for Administrative Task event on requirement.
Human Resources:
- Assist PSO in field office recruitment process in advertising and contacting for interviews.
- Assist PSO to ensure staff’s employment related file such as personal information, contracts and documents are updated and file properly
- Prepare for HR monthly report in time report to to PSO.
- Assist to PSO for document scanning process in time for each month concerning all related HR documents.
- Keep daily attendance record and submit compiled monthly report to PSO.
Logistics:
- Assist PSO to receiving, dispatching and recording of any incoming and outgoing stock movement of regional to field office and then to respective teams.
- Handling fuel issue for both vehicles, generators and fuel stock in/out in Logbooks with assigned guards under close supervision by PSO.
- Check the log sheets of the vehicles & generators on daily basis with drivers and guards.
- Assist PSO to ensure the daily check lists of vehicles and generators with the drivers/security guards.
- Assist the PSO with motorbikes/generators repair and maintenance when necessary.
- To Assist PSO with his/her daily tasks
- Assist to PSO in supplier collection process also vetting checking process through negotiation to each supplier with explanation to received related document / information
- Assist to PSO for W/H cleaning process at monthly and keeping systematically for each stock depend on FI/FO procedure.
- Assist to PSO to share nearly expire date information of each stock with checking in monthly
- Checking and updating Bin card / Stock card under the W/H depend on stock balances
- Prepare for Logistic monthly report in time report to SPO.
Others:
- Comply with all relevant Save the Children policies and procedures with respect to health and safety, security, equal opportunities and other relevant policies.
- Carry out the responsibilities of the role in a way which reflects Save the Children`s commitment to safeguarding children in accordance the Child Protection Policy.
- Support to Line Manager other relative activities if necessary.
Child Safeguarding Responsibilities
- Ensure that all beneficiaries of your program are receiving ongoing, age-appropriate verbal or written information in relevant languages about Save the Children’s Child Safeguarding Policy and Code of Conduct.
- Assist to Tsp: CSG Focal for collecting attendance listed and also training / sharing session preparation especially key suppliers / key 3rd parties through coordination with PSO

EXPERIENCE AND SKILLS
Essential
- Professional working experience, preferably in the development sector, is an advantage
- At least 2 years’ experience in related field especially procurement / logistic / W/H functions
- Experience in Administration, HR, or Logistics is an advantage
- Experience with international organizations is an advantage
- Willingness to work in field office location
- Commitment to and understanding of Save the Children’s aims, values and principles
- Computer proficiency, especially MS Word and Excel
- Willingness and capability to comply with all relevant Save the Children policies and procedures with respect to health and safety, security, equal opportunities and other relevant policies, including the Child Safeguarding Policy.

Education:
- Bachelor’s degree or equivalent experiences in Supply Chain / HR / Admin field under the Office

- Willingness to travel to field offices and work in difficult environment according to travel requirements
